2. What does this policy cover?Visits to the VRROOM website, enquiries about event activities, equipment rental and VR/AR consultation, and related correspondence. Sending an enquiry is not a payment or an automatically confirmed booking. Availability, prices and service terms are agreed separately.
3. What information do we receive?Depending on the form: your name, email, phone, company, selected equipment or activities and their options, preferred date and duration, event or delivery address, participant numbers, budget and message. Required fields are marked. We need contact details to reply; incomplete event information may require follow-up questions.
You do not need to send a personal identification number, ID copy, health information or participant list for an initial quote. Please avoid unnecessary information about other people.
4. Why do we process information?We review enquiries, prepare quotes and provide agreed services to take steps at your request before entering a contract or to perform it. For company representatives, we use necessary business contact information based on our legitimate interest in responding to the company's enquiry.
Invoices and mandatory records are handled to meet legal obligations. Website security, spam prevention and the defence of justified claims rely on legitimate interests, assessed proportionately. Optional marketing or tracking requires separate consent; requesting a quote does not subscribe you to a mailing list.
5. Where does an enquiry go?Tilda provides the website and forms. Submitted information goes to the relevant VRROOM Tilda CRM list and to notification emails at info@vrroom.lv, used through Gmail. Lists cover general enquiries, events, rental and consultations. Tilda's submission log helps us check delivery and errors.
Information is available to people handling the enquiry and delivering the service. Accounting, delivery and other providers receive only information needed for their task; authorities receive information where legally required. Tilda and Google also use infrastructure and security providers. Processing may take place outside the European Economic Area. See

Google's transfer safeguards, including applicable adequacy decisions and standard contractual clauses. You may ask us about the specific processing of your data.
6. How long is information retained?Enquiries that do not become an event or rental order are retained for 24 months after the last relevant contact. If a contract is made, retention also depends on service delivery, statutory record-keeping and the defence of justified claims. Completing a form is not a reason for indefinite storage. Data should be erased or anonymised when its purpose and retention basis end. Contact info@vrroom.lv about retention or deletion of a particular enquiry.
7. Cookies, security and external servicesThe enquiry list, forms, saved cookie preferences and security use technical website functions. These may process IP addresses, browser and device information and use cookies or browser storage. Tilda may display Google reCAPTCHA to protect forms from spam; see
Google's privacy policy. Opening game videos may load YouTube content; social links lead to external services with their own privacy terms.
The cookie panel lets you accept all cookies, keep necessary cookies only or change individual preferences. Reopen settings using the cookie button in the page corner. Necessary functions cannot be switched off in that panel. Google Tag Manager, Google Analytics, the Meta advertising pixel and LeadConnector are not connected in this new website configuration. If optional analytics or advertising tracking is introduced, we will update the information and relevant choices.
Tilda’s built-in statistics may record a visit without analytics cookies. If you allow these cookies, Tilda may use them to count visits more accurately. Your browser may also contact Google Fonts servers to load website fonts; this technical connection is not Google Analytics or an advertising pixel.
8. Your rightsSubject to the applicable conditions, you may request access, correction, erasure, restriction or portability of your data. You may object to processing based on legitimate interests and withdraw consent at any time. Withdrawal does not affect the lawfulness of earlier processing based on consent. Not every right applies in every situation; a legal retention duty may prevent immediate deletion.
